1. Managing payroll systems of the firm
2. Maintenance of office and clients� accounts, including the maintenance of designated contact numbers for each
3. Guides clerical staff on maintenance and ongoing record-keeping of payments for client matters
4. Introduces new concepts to improve efficiency within the accounting and related functions, and develops forms for internal use to initiate approval and verification processes for the expenditure of the firm�s funds
5. Reconciles financial discrepancies appearing on the firm�s books on a month-to-month basis
6. Prepares payments by verifying documentation, and requesting disbursements
7. Coordinate with the clerical personnel to prepare tax invoices, including proforma invoices, for client billings
8. Overseeing and supporting staff to ensure billing is completed accurately and within the required timelines
9. Coordinate with the managerial personnel when gathering, documenting and storing client information upon conclusion of client matters
10. Manages petty cash in various mediums, and issuing payment vouchers in a timely manner
11. Recommends financial and tax-saving options to the management proactively
12. Forecasts billings of the firm (unbilled and unpaid) on a month-to-month basis
13. Compiles the firm�s expenses, and facilitating reimbursements and disbursements
14. Liaises with tax agents and auditors on mandatory partnership filings and account auditing
15. Answers accounting procedure questions by researching and staying up-to-date with accounting policy and regulations, as shall be relevant to the firm
16. Complies with federal, state, and local financial legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions in relation to the firm�s accounts
1. Qualifications in Accounting/Finance
2. Recent experience of at least 1 year in a fast-paced legal environment (in a firm of less than 3 lawyers shall be relevant)
3. Experience with financial reporting requirements applicable to legal firms i.e. familiar with Solicitors� confidentiality rules, and the applications of the Solicitors� Remuneration Order
4. Proficient computer skills, and a thorough understanding of functions on Microsoft Excel
5. Familiar with �Core matter' software
6. Excellent written and verbal communication skills
7. Able to perform a wide range of accounting duties, including maintaining files and highly confidential information, in both an independent and collaborative manner
8. Ability to proactively follow-up on outstanding matters, and to think ahead of those matters so as to prompt relevant persons on the next steps required
9. Excellent time management skills, indicative of an ability to prioritise urgent tasks
10. Strong aptitude for detail
11. Decisive and able to work with minimal direction and supervision
12. Able to organise and manage large amounts of tasks, schedules, and information with diligence and consistency
13. Able to deal with different individuals at all levels in the firm
14. Possess good interpersonal skills, and capable of approaching assigned tasks with a specifically client-sensitive approach
